Summary:
Under the general supervision of the Senior Vice President-Philanthropy/Chief Development Officer, oversees operational functions of Five Foundations and WellSpan Philhaven Development to ensure efficiencies in system-wide philanthropy efforts.
Using sound data analysis to inform and provide strategies and leadership to establish and reach fundraising goals.
Oversees information and data management reporting systems.
Plans, coordinates, and executes all direct mail activities for Philanthropy, including Employee Giving, Annual Direct Mail, and Planned Giving efforts.
Duties and
Responsibilities:
1.
Manages administrative and technical functions and supervises administrative staff.
Provides leadership and support for strategic and operational philanthropy plan and goal setting across the System.
2.
Participates in implementation of strategic metrics which serve as a dashboard of indicators for fundraising progress; models the use of metrics to document progress toward goal.
Responsible for performance reporting and metrics to Philanthropy leadership, board leadership and senior leadership.
3.
Plans, oversees, coordinates, and executes the direct mail program.
With the assistance of IT and business system analyst, composes mail lists, screens for accuracy, and ensures proper composition of donor acquisition and renewal mail lists.
Compiles and analyzes results of all donor solicitations for strategy planning.
Continual relationship building with Direct Mail vendor which consists of monthly meetings, forecasting, and budgeting.

Convenes and leads Philanthropy administrative team, overseeing all information and data systems, gift processing and acknowledgment systems and growing organizational capacity for prospect research.

Oversees the development of brochures, materials, website updates and letters related to direct mail program, grateful patient donor acquisition, annual stewardship plan and other correspondence.
Coordinating theme, stories and schedule with Communications, Innovations and other departments or consultants, as needed.
6.
Implements portfolio and prospect management system which aligns to individual staff goals and reporting to allow for reporting and accountability for fundraising staff.
Oversees prospect research function.
7.
Ensures appropriate entry and acknowledgment of gifts made to WellSpan Philanthropy.
In coordination with business systems analyst, effectively and efficiently tracks all solicitation efforts and results through the database.
Analyzes results of annual and special fundraising initiatives on a continual basis.
Extracts ordinary reports and queries from donor database and other systems to track revenue and expenses.

Develops and oversees the Philanthropy expense and revenue budget with input and assistance from Philanthropy team, as needed.
Analyzes cash flow and performance fundraising for reporting purposes.
Ensures appropriate spending of approved budget dollars.
9.
Oversees the annual foundation board calendar and process by providing insight and support to Foundation Directors for board meeting topics, annual nominations process, budget and performance reporting, annual board giving and other related tasks.
Works with System and Entity staff to maintain updated records of Foundation and System/Entity board of directors.
10.
Coordinates quarterly meetings with the appropriate service line staff to review fundraising opportunities, spending and donor recognition.
11.
Coordinates with Communication/Innovation team members to review project calendar, current projects, completed projects and collaborative efforts.
12.
Serves as liaison with Finance Department to ensure accuracy of donation records and deposits.
Manages the oversight of all philanthropic fund balances, spending and related processes.
Monthly monitoring of five foundations and one development office financials for accuracy.
13.
Coordinates and develops meeting materials for Philanthropy team meetings and calls in consultation with Senior Vice President, Philanthropy and/or other team members.
14.
Works with Philanthropy team to coordinate donor stewardship and recognition for plaques/donor walls in accordance with WellSpan Health policies.
Assists with donor recognition and cultivation activities and events for Philanthropy.
15.
Coordinates and develops communications/innovations strategies for the Annual Employee Giving Campaign.
16.
Coordinates and executes systemwide gratitude program functions from an operational standpoint.
Works with Philanthropy Gratitude Program lead 17.
Oversees the annual Planned Giving Strategy by working with selected Planned Giving Vendor, internal philanthropy team members, and communications to help maintain an ever-growing Planned Giving prospect and donor program.
18.
Coordinates and oversees monthly revenue and philanthropic activities reporting for Senior Vice President, Chief Development Operator to provide to WellSpan President & CEO.
